Gift Cards Overview
A gift card is a form of payment that can be used to make a purchase at a retail store. You can use any card that you wish as long as it has a unique number. You don't have to, but you can use a barcode on the card as well. You are able to load money onto the card, which customers can then spend at accepted store locations.

- How to view an existing/created gift card.
- How to activate or deactivate a gift card.
Reaching the "Gift Cards" Module
To reach the "Gift Cards" module:
- Log into Control Center
- Choose Point of Sale
- Choose Maintenance
- Choose Gift Cards
Understanding the "Gift Cards" Module Layout
See the image below labeled Figure 1.1 for descriptions of the buttons and fields that appear on the screen.

1. Adding a New Gift Card:
Follow the steps mentioned below to add a new gift card:
- Click the “Add New” button as presented in Figure 1.1 above to add a new gift card.
- The form will appear on your screen as shown in Figure 1.2 below.

1.1. Fields:
- Account Name: This field displays your company's name.
- Customer Name: Select the customer name from the drop-down list.
- Card Number: This field requires the issued card number.
- Balance: This field shows the current balance status.
- Note: This field requires a note that explains the gift card context.
- Is Active: This is a toggle that sets the status of the gift card. While creating a new gift card, it is often set to Yes.
1.2. Buttons:
- Save & Close: Click on this button to save the changes and exit the gift card form.
- Save & New: Click on this button
to save and open another gift card form.
- Save: Click on this button if you wish to
stay on the same gift card form.
- Cancel: Click on this button to
discard changes.
2. Viewing Gift Card Details:
Follow the steps
mentioned below to view gift card details:
- Click the “View” button as presented in Figure 1.1 above to view gift card
details.
- The form will appear on your screen as shown in Figure 2.0.

- Click on the editable button adjacent to the editable
fields to enter the value, and click on the individual "Save" button that appears after each change.
- You may click on "Cancel" to discard the changes made. (Figure 2.0).
The Last Used timestamp and the gift card current balance appear on the Gift Card Logs ribbon. - Location: This column displays the location name where the activity related to the issued card has been done.
- Employee: This column displays the employee name who sold the gift card or took a transaction with it.
- Customer: The name of the customer who possesses the gift card.
- User: This column displays the name of the corporate user who managed this gift card from Control Center.
- Reg Num: This is the register number where the gift card-related activity happened.
- Receipt: This is the receipt number that is related to the gift card transaction.
- Amount: This is the amount value that the customer has redeemed or added on the gift card.
- Notes: The gift card-related notes are mentioned here.
- Type: This is the transaction type related to the gift card that is mentioned in this column.
- Used At: The date/timestamp of the gift card transaction is mentioned here.
2.2. Edit Form Fields
- Card Number: This field requires the issued card number, which is editable.
- Customer: Enter the name of the customer for whom the card is issued.
- Account: Fill in this field with the name of your company.
- Employee: Fill in the employee’s name who issued the gift card.
- Balance: This field shows the current balance status of the gift card.
- Created At: The gift card creation date and time are displayed here.
- Updated At: The date and time when the card is updated are mentioned here.
- Active: This field highlights the status of the card, whether it is active or inactive.
- Deactivate At: This displays the date for deactivation of the gift card (if applicable).
2.3 Buttons:
- Activate: This button is used to activate the gift card.
- Cancel: This button is used to discard the changes made on the Edit Gift Card form.
3. Deactivating/Activating a Gift Card:
Follow the steps below to deactivate a gift card:
- On the View Gift Card page, click on "Deactivate," as highlighted in Figure 3.0, to deactivate
the gift card.

- By clicking the "Deactivate" button, the status of the gift card gets changed from activated to deactivated.
The same process can be followed to activate a deactivated card.
