LNS Employees Overview

LNS employees, or Loyal-n-Save employees, are essentially the store staff members themselves; they function as a regular employee who earns commission-based rewards. The employee can also use the mobile app or website just like a customer does and manage their own team and profiles. 

These employees, ranging from customer service representatives to store managers and marketing analysts, work collaboratively to ensure the program runs smoothly and delivers value to both customers and the business. Their roles involve promoting the loyalty program, assisting customers with enrollment and rewards, leveraging data insights for personalized service, and managing the overall performance of the program. Through dedicated training and support, Loyal-n-Save employees are equipped with the skills and knowledge necessary to drive customer loyalty and improve the retail experience.

Reaching the "LNS Employees" Module

To reach the "LNS Employees" module:     
  1. Log into Control Center
  2. Choose Loyalty
  3. Choose Customer
  4. Choose LNS Employee
Employee details for Loyal-n-Save employees are displayed differently than for a normal customer.  For instance, in addition to the default fields, you will also see the fields below for a Loyal-n-Save employee:
  1. Employee Type
  2. Employee Number
  3. Can Register Employees (select from the drop-down menu (Yes/No).
This field is reserved for district managers, general managers, and store managers. This allows them to register employees underneath them. 
  1. Employee Level For EIP
  2. Select Employee Manager
  3. Employee Date Hired
  4. Probation Ending Date

Understanding the "LNS Employee" Module Layout

Please see the image below labeled Figure 1.0 for a description of the buttons and fields that appear on the screen.

  1. Add Employee: This button helps the user add an LNS employee to the POS system. 
  2. Edit Employee: This button helps the user edit the existing LNS employee. 
  3. Update Manager: This button helps the user to update the manager.
  4. Employee Account Transfer: This button helps the user replace a departing employee with a new hire.
  5. Delete Employee: This button helps the user delete an existing employee from the POS system. within the organizational chain. 
An employee can only be deleted if there are no associated child links, meaning there should be no dependent child linked to that employee in the system.
The LNS Employees dashboard displays the following details:
  1. Email: Displays the email address of the LNS employee.
  2. Employee #: Displays the registered employee number.
  3. First Name: Displays the first name of the employee.
  4. Last Name: Displays the last name of the employee.
  5. Manager Name: Displays the name of the designated manager.
  6. Can Register Employees: Displays whether the employee can register another employee or not.
  7. Confirmed: Displays the state of whether the employee has been registered as an LNS employee or not.
  8. Created: Displays the date of the employee registered/created.
  9. Employee Type: Displays the type of employee.
Adding a New Employee
Follow the steps mentioned below to add a new employee:
  1. Click the “Add New” button highlighted in Figure 1.0 above to add a new LNS employee.
  2. The form displayed in Figure 1.1 will appear on your screen.

On the "Details" tab, enter/select the details in the following fields:
  1. First Name: Enter the employee's first name here in this field.
  2. Last Name: Enter the employee's last name here in this field.
  3. Username: Enter the employee's username here in this field.
  4. Email: Enter the employee's email address here in this field.
  5. Gender: Enter the employee's first name here in this field.
  6. Employee Type: Select the type of employment from the drop-down list.
  7. Date of Birth: Fill in the employee's date of birth here in this field.
  8. Employee Number: Enter the employee's number here in this field.
  9. Can Register Employees: Switch the toggle to Yes or No according to which employee can/cannot register other employees. 
  10. Employee Level For EIP: Assign the hierarchy to the employee here.
  11. Employee Date Hired: Give the hiring date of the employee here.
  12. Probation Ending Date: The probation period can be configured under the Advanced Team and EIP Settings in the Loyalty Global Settings.
Once you enter the necessary details, switch to the "Contact" tab. Please see the image below labeled Figure 1.2 for a description of the fields that appear on the screen.

In the "Contact" tab, enter the contact details of the LNS employee. The details to be entered are as follows:
  1. Address Line 1: Provide the first line of the customer's address here in this field.
  2. Address Line 2: Fill in more information on the address field, if required.
  3. City: Mention the customer's city name.
  4. State: Fill in the state name where the customer's city lies.
  5. Zip: Give the zip code of the city where the employee resides.
  6. Phone: Fill in the phone number of the customer in this field.
Once you enter the necessary details in the "Contact" tab, click on the "Save" button. To save and add another LNS employee, click on the "Save & New" button. To save and close the window, simply click on the "Save & Close" button.  

Editing the LNS Employee

To edit/modify the existing LNS employee details, perform the following steps:
  1. On the LNS Employees window, click on the Modify button under the Actions column.

  1. Once you click on the Modify button, an editable mode will be displayed to edit the LNS employee details. 
  2. Update the fields as per your convenience and click "Save." 

Deleting the LNS Employee

To delete an existing LNS employee, perform the following steps:
  1. On the LNS Employees window, click on the Delete button under the Actions column.

  1. Once you click on the Delete button, a confirmation pop-up will be displayed, as shown below:

  1. Click on the "Yes, delete" button. The LNS employee will be deleted successfully.
You cannot delete an employee who has child team members associated with them.
Attempting to delete such an employee will result in the following error message:

To delete an employee with child team members, you must first unlink all associated children or replace the employee with another employee. Follow the steps below to delete an employee with associated child members:
  1. Create a test employee with a generic name.
  2. Locate the employee that needs to be deleted and click on the Employee Account Transfer icon in the Actions column.
Test employees must be on the same employee level. For example, cashier to cashier or manager to manager.

  1. In the search textbox, enter the test employee name you created.

  1. Select the test employee and click on "Save."
  2. Once the employee has been successfully replaced, you can proceed to delete the original employee.

Updating the Manager

Once an LNS employee is created and if you want to update the manager of the LNS employee, click on the Update Manager icon as displayed in Figure 1.0. The form displayed in Figure 2.1 will appear on your screen.

Fields:
  1. Can Register Employees: This field works as a toggle option that will allow the customer-turned employee to register more employees.
  2. Select Employee Level For EIP: Assign the hierarchy to the LNS employee here.
  3. Select Employee Manager: This option lets you select to designate a manager to the above LNS employee from the drop-down list of managers.
Buttons:
  1. Cancel: This button discards the changes made.
  2. Update Manager: Updates the manager of the selected LNS employee.

Reassigning an Employee Account

The Reassigning an Employee Account feature enables you to seamlessly replace a departing employee with a new hire within the organizational chain. While the account itself is transferred to the new employee, it's important to note that the previous balance associated with the former employee does not carry over to the new employee.

There are up to 5 levels in the hierarchy.

Hierarchy Examples:
  1. Regional Manager -> District Manager -> Manager -> Employee(s)
  2. Regional Manager -> District Manager -> Manager -> Assistant Manager -> Employee(s)
  3. District Manager -> Manager -> Assistant Manager -> Employee(s)
  4. District Manager -> Manager -> Employee(s)
Replacing a Member on the Hierarchy

Each level of the hierarchy can be swapped with a newly hired employee. For example, if a store has a manager who is no longer with the retailer, then we can replace the new manager in place of the old manager. Adjustments can occur at any level of the hierarchy.

This is only available to employees and will not be allowed for standard customers.

Since employees are linked with individual employee IDs, the newly placed employee will begin with zero earned tokens. This means that the previous balance of the former employee does NOT transfer to the new employee.

To find out an employee's position on the hierarchy tree, perform the following:

1. On the left navigation pane, click on Loyalty Customer Customers module.
2. On the Customers page, search for the employee using the filter option and click on the Associations icon, as shown below.

3. On the Customer Associations page, under the "Team" tab, select the "Hierarchy" button to view the employee's position.

To reassign an employee account, perform the following:

1. On the left navigation pane, click on Loyalty Customer LNS Employee. Alternately, you can navigate to Users LNS Employees.
2. On the LNS Employees page, search for the employee using the filters and click on the Employee Account Transfer icon under the Actions column.

3. Once you click on the Employee Account Transfer icon, a pop-up window will be displayed to select an employee, as shown below:

While reassigning an employee account, make sure the employee is on the same employee level. For example, cashier to cashier or manager to manager.
4. Select the employee from the list displayed and click on "Save."
5. Once you click on "Save," the selected employee will be replaced as shown below:
