Lottery Reconciliations Overview

Lottery tickets are created as normal products and assigned a game number and bin. They are then sold through the cash register as normal products. However, at the end of the shift, the cashier reconciles them using a handheld device, or POS. After that, the cashier enters the ending counts, activated games, and details from the lotto machine. The starting count is perpetual and it is based on the last ending count.

1. Lottery Reconciliation Settings

Once we get our lottery product made and the lottery game assigned to that UPC number, we need to look into reconciliation settings. You can configure settings related to lottery reconciliation, options for the employees, and how the system should function overall.

  1. Lottery Sales Department: A lottery ticket is considered a regular product; hence, we dedicate a department for a lottery. Once that is done, the game number is assigned to the ticket. For this setting, select the department related to lottery sales from the drop-down list (the department that is created to manage the physical lottery items and their sales at the store).
  2. Lotto Sales Dept: Select the department name for non-physical lottery items.
  3. Get Payouts From: For this setting, you get two options to select from, as highlighted in Figure B below.

  1. Payout Account: If you select this option, you don't have to assign payout account numbers.
  2. Department: If there's a payout where the customer wins some money, we can do the payout along with purchasing in the same transaction. It saves paper, time, and effort.
  1. Lotto/Online Payout Department: Select the lotto payout department from the drop-down list.
  2. Lottery Scratch Payout Department: Do the same as above for this field too. Choose the department from the drop-down menu.
For lotto sales, there's just a dedicated machine to manage the transaction process. You don't keep track of those items because you don't have them physically in the store.

Lottery Toggles

  1. Blind Shift Recon: If this is set to YES, then cashiers are not supposed to see what they have, i.e., how many tickets are sold or what ticket number is sold. If set to NO, then they can see which ticket has been sold in what quantity during reconciliation. Turning it ON and OFF has its own pros and cons. But if it's turned off, it will let you know if there's any variance.
  2. Shift Deposits Editable: It is set to true, then you are allowed to edit the shift deposits. If set to NO, the shift deposits are not editable.
  3. Safe Drops Editable: If it is set to YES, then Safe Drop is editable. If set to NO, then you are not allowed.
  4. Shift Enable Lottery: If it is set to YES, then you are expected to do the lottery recon and if NO (it is set to NO in case your store doesn't do lottery), then you are not allowed/expected to do the lottery reconciliation.
  5. Lottery Use Multiple Zs: By default, it is set to NO, which means if there are multiple registers in a store, then lottery sales can go through only one of those registers for a shift at a store, so you cannot ring up lottery tickets on multiple registers. For all those tickets that are going through one particular register, when the cashier Z's out, we know exactly where that variance is coming from. If it is set to YES, then the lottery ticket can be rung up on multiple registers.
  6. Use Lottery Safe: If you are using the safe to store extra lottery game tickets, then turn this toggle ON. If this is not the case, then turn this toggle OFF. 
  7. Lottery Lock Starting Ticket #: Each lottery book that you get from the state is inactive. Lottery activation is done to keep track of activations because they can be sold regardless. This is a lottery security setting that prevents the cashier from stealing the ticket. It is beneficial if set to ON. 
  8. Lottery Base is Zero: If the "Lottery Base is 0" toggle is set to True, then the base for the lottery tickets will start from 0. For example, for a total of 50 tickets, if the sorting is set to ascending order, it will start from 0, 1, 2, 3, 4...49. For descending order, it will go as 49, 48, 47, 46...0.

2. Reaching the Lottery Reconciliations Module

To reach Lottery Reconciliations, follow the below steps: 
  1. Step 1: Log into Control Center
  2. Step 2: Choose Point of Sale
  3. Step 3: Choose Lottery
  4. Step 4: Choose Lottery Reconciliations

General Details:
D1.1: Store: This field displays the store location where the lottery reconciliation happened.
D1.2: Register: This displays the register number on which the employee reconciled the lottery transaction.
D1.3: Z#: This is the shift number that is associated with the employee who reconciled the selected lottery transaction. 
D1.4: Employee: The employee's name who reconciled the lottery transaction is mentioned here.
Lottery Details:
D2.1: Game #: This column will display the game number that is associated with the lottery ticket configured in the Lottery Game module. 
D2.2: Name: Here, the name of the game is mentioned in this column defined in the lottery game module. 
D2.3: UPC: The lottery ticket is configured as a regular product with UPC. This field displays that UPC.
D2.4: Start #: The start value of the ticket would depend on whether your store handles the tickets in ascending or descending order. If the order is ascending, the start # would be 1, and if the order is descending, then the start # would be 100 (from last to first, depending upon the total number of tickets in the bin).
D2.5: End #: The end value of the ticket would depend on whether your store handles the tickets in ascending or descending order. If the order is ascending, the end# would be 100 (the last number of tickets depending upon the total number of tickets in the bin), and if the order is descending, then the end# would be 1.
D2.6: Cashier Sales: This column displays the number of tickets sold by a particular cashier during his shift.
D2.7: Register Sales: This column displays the number of tickets sold that the system is keeping track of. For example, if the store is handling lottery tickets in ascending order and the value in end# is 6, then the register sales value would be since that many tickets are sold.
D2.8: Additional Books: This column displays the extra ticket books related to the game that are kept in the safe.
Lottery Activations:
D3.1: Name: Here, the name of the game is mentioned that is currently activated.
D3.1: Game #: Here, the name of the game is mentioned in this column defined in the lottery game module. 
D3.1: UPC: The lottery ticket is configured as a regular product with UPC. This field displays that UPC.
D3.1: Book #: The book number that is currently activated is displayed in this column. 
D3.1: Qty On Roll: This column displays the quantity (number) of tickets in this ticket roll.
Online Lotto Details:
  1. Lotto Information, as highlighted in Figure E below, is filled in by the cashier by looking at the online lotto machine.

Performing Lottery Reconciliation from POS

Once the cashier is about to complete the shift for the day, that cashier must generate the Reg. Z for performing the "Shift Reconciliation." If any sales related to the lottery are made, they can be reconciled during shift reconciliation.

Lottery Reconciliation flow from POS:

-> Cashier Functions:
  1. Generate "Reg Z"
  2. Perform the "Shift Reconciliation"
-> Actions:
  1. Exit POS and go to Shift Reconciliation.

  1. Click on the shift that is not yet reconciled, as highlighted in Figure F above.
  2. Verify $ amount values for the "Drawer" as per the sales. See Figure G below.

  1. Once done, click on "Continue" and move forward to the "Lottery Activations" tab.

If you have sold the complete ticket book in a go or separately, then you need to activate another ticket book for the same game. For this, you have to select the game from the "Select Book to Activate" drop-down list of games to activate the new ticket book. Book # is actually the Game #. Enter the book number in the textbox adjacent to the Book #.
Then click on the "Activate Book" button to activate the ticket book.
You can fill/edit the QTY field as per the number of tickets that are in a ticket book for a particular game. This field can be edited even after activating the ticket book.
  1. Once done, click on "Continue" and move on to "Lottery Games."

  1. The "Lottery Games" tab is used to learn about the "Variance," if there's any with respect to lottery sales.
  2. Once done click on "Continue" and move on to "Lottery Safe."

  1. "Lottery Safe" shows the lottery safe information at your location based on currently set books and tickets.
You can also add new books for the lottery game running at your store by selecting the game name from the "Add Game to Safe" drop-down list. Then, you can enter the number of books against the "Full Books" text field. Fill in the number of tickets per book against the "Ticket" text field. Click on the "Add to Safe" button. 
  1. Click on Save, and then Finalize Shift by clicking on OK.
