POS Dashboard Layout Overview

The POS Dashboard layout serves as the main landing page upon logging into the POS system. It provides immediate access to essential features, such as the Time Clock for clocking in and out, the Current To-Do List for tracking pending tasks, and Dashboard Messages for important system updates or internal communications.

From this central screen, users can navigate to various functional menus, including "Open POS" to initiate and manage sales transactions; the left panel is used for accessing utility options necessary for POS and Control Center synchronization, Settings to configure POS settings; and "Logout" to securely exit the system.

This article will give you an understanding of each topic available on the POS Dashboard.

Understanding the Dashboard Layout

Please refer to Figure 0.1 and the descriptions of the buttons and fields below to understand the layout of the POS Dashboard.

Left Panel

1. Reconciliations:

The Reconciliation section allows users to manage all shift and daily financial reconciliation tasks in one place. It provides options to record, review, and adjust daily transactions, ensuring that cash handling and sales records align accurately with system data.

  1. Shift Reconciliation: Used to balance and verify transactions for a specific shift, ensuring that sales and payments match the recorded amounts before closing the shift.
  2. Add Daily Reconciliation: Allows users to enter and record the reconciliation details for the day, summarizing all shifts and payment types.
  3. Edit Daily Reconciliation: Provides the ability to update or correct entries in an existing daily reconciliation record if discrepancies are found.
  4. Manage Safe: Enables users to track and manage the store safe’s cash movements, including deposits, withdrawals, and transfers, maintaining accurate cash control.

2. Manage Lottery Games

The Manage Lottery Games feature lets you activate or deactivate lottery games and update bin assignments for a specific store directly from the POS. While games are created and activated at the account level in the Control Center, each store can manage them locally, enabling, disabling, or assigning bins as needed.

3. Re-register Fingerprint

The FTx POS system allows employees to register or re-register their fingerprints using the "Re-register Fingerprint" feature. These fingerprints serve as unique digital credentials for biometric authentication, enhancing security, improving accountability, and offering a more convenient, intuitive login experience for employees.

For added protection, fingerprint data is not stored in a traditional, retrievable format, ensuring it cannot be extracted from the system.

Note: To register or re-register your fingerprint, the POS system must be connected to a peripheral device—a fingerprint reader.

  1. Click on the "Re-register Fingerprint" option from the left panel.

  1. Enter the needed credentials: 
    1. Employee ID: Enter the numeric value for an employee ID.
    2. Password: Enter the numeric value for the password.
  2. Click on the "Enter" button. The screen will appear as shown below:

  1. Place your finger on the fingerprint reader and scan four times as instructed in a message displayed.
  2. Complete all four rounds of fingerprint scanning.
  3. Once done, your fingerprint will get automatically saved, and you are now ready to log in using your saved fingerprint.
3.1 Logging into POS Using Fingerprint
Once fingerprints are configured in the system, you can now log into POS as per the below-mentioned steps:
  1. Open the POS.
  2. Click on the Use Fingerprint option.

  1. The system will ask you to scan your finger via the fingerprint reader. 
  2. Place your finger on the fingerprint reader to scan and verify your fingerprint. 
  3. A successful scan logs you into the POS as if you manually entered your ID and password.

4. POS Training Mode

The POS Training Mode opens up training mode to allow staff to practice using the point-of-sale system without affecting real sales data or inventory.

5. Settings

This allows you to configure key system parameters to define how the tablet with POS connects to the cloud database, identifies itself, and associates with a specific store and register.

The left panel in the Settings module provides access to key configuration sections for managing your POS device and application preferences.
  1. Control Center: Opens the configuration screen (as shown) to define the Base URL, Location, Register Number, and Device ID used for connecting the POS to the Control Center.

  1. Main Settings: Contains core application settings such as business name, store information, and device-level operational preferences that control how the POS behaves during transactions.

  1. Web Preferences: Allows configuration of web-based preferences like default browsers, linked portals, or URLs that the POS application interacts with.

6. Logout

The "Logout" button ends the current session, ensures security, and makes the POS system ready for another session.
  1. If you are on the POS Dashboard, click the "Logout" button to end the current session.
  2. If you are using any POS function under Open POS, first click "Exit POS" to return to the dashboard, then click "Logout."
  3. If you are in the Settings menu, click "Back to POS" to navigate back to the dashboard, then click "Logout."

Time Clock

You can use the Time Clock feature to clock in/out for your shift. You can also view your two-week schedule from here.
  1. Clock In/Out: After logging into the POS, clock in your shift, and click on the "Clock In/Out" button.
From the Time Clock section, you can also view how many other users have clocked in.

This button allows you to view your schedule for two weeks in advance. 
Notes
Note: Scheduler can also be accessed from the top navigation bar.

The Cashier | Schedule screen displays the scheduled shifts for cashiers within the selected week.

  1. My Schedule: Displays only the logged-in cashier’s work schedule for the week.
  2. Full Schedule: Displays the complete shift schedule for all employees.
  3. Navigation Arrows: Use these arrows to move between previous and upcoming weeks.
  4. Close: Exits the Schedule window and returns to the previous screen.
  5. Refresh: Updates the schedule to show the latest data, if any changes have been made.
  6. Print: Prints the current schedule view.

To-Dos & Messages 

The corporate employee can create To-Do tasks to send to the store employee. If authorized, you can view the To-Do list on your Dashboard.

Viewing and Completing To-Dos 

The corporate employee can send tasks to the store employee by creating To-Do lists. The system will continue to send the To-Do task at a specified frequency (e.g., One Time, Daily, Weekly) until it is marked as completed by the store employee.

If you are authorized, you can view the to-do list on your Dashboard under the Pending section.

Under the Pending tab, all active To-Do tasks are displayed for the logged-in user.

To view the details of a specific To-Do in a separate window, click on the respective task. The “To-Do | Manual” window will open with the following information:

Fields Description
  • Subject: Displays the title or summary of the To-Do task.
  • Created At: Indicates the date and time when the To-Do task was created.
  • Message Box: Shows the detailed description or instructions associated with the To-Do task.
Action Buttons (Within To-Do | Manual Window)
  • Mark As Complete: Marks the To-Do task as completed and removes it from the Pending list.
  • Print: Sends the To-Do details to the configured POS printer for a physical copy.
  • Close: Closes the To-Do window without making any changes to the task status.
Info
The To-Do List cannot be deleted in POS. Only the authorized corporate employee can delete it from Control Center.  
The To-Do tasks marked as completed will be displayed in the Completed tab. You can undo / mark the task as incomplete by clicking on the undo button as shown below:

Managing Messages 

FTx Cloud POS provides a two-way messaging facility across the account. If you are authorized, you can view the received and sent messages on your Dashboard in the Messages section.

Viewing & Responding to a Message:

The Messages Dashboard is divided into two tabs: Unread and Read, allowing users to efficiently manage communication within the POS system.
  • The Unread tab displays all unread messages, along with the total count shown in brackets.
  • To view a message, click on the desired entry. The Message Details window will open, displaying:

    • Subject: Title of the message
    • Date & Time: When the message was sent
    • Sender Name: User who sent the message
    • Message Content: Full message details

Responding to a Message

  • Use the Send Reply text box at the bottom of the window to respond.
  • To include files, click the Attachment icon and upload the required documents.
  • Once a message is read or responded to, it is automatically moved to the Read tab.

Sending a New Message

Follow the steps below to create and send a new message:

  1. On the Messages Dashboard, click the “New” button located at the bottom-right corner.

  1. The Create Message window will be displayed.
  2. Enter the required details as described below:

Fields Description

  • Subject: Enter a clear and concise title for the message.
  • Message: Enter the content or information you want to communicate.
  • Visibility:
    • Public: Message is visible to a broader audience based on system configuration.
    • Private: Message is visible only to selected users.
  • Attachments: Add supporting files or documents, if required.

User Selection Options

  • All Users: Sends the message to all users within the organization.
  • Specific User: Sends the message to selected users only. A dropdown field will appear to choose the required recipients.

Action Buttons (Create Message Window)

  • Send: Submits the message to the selected recipients and delivers it to their Messages Dashboard.
  • Close: Closes the Create Message window without sending the message.

Top Navigation Bar

  1. Search Bar: Allows users to quickly search for items, employees, transactions, or other records within the POS system.
  2. Open POS Button: Launches the POS billing interface, enabling users to start or resume sales transactions.
  3. Theme Changer: Enables users to switch between available UI themes (e.g., light or dark mode) for better visibility and user preference.
  4. Cashier | Schedule: Displays the currently logged-in cashier’s name and provides access to their work schedule or shift details. It may also allow users to switch shifts or view assigned working hours.
  5. Notification: Displays system alerts, updates, and important messages. Depending on system configuration, it may also include options such as Refresh, View Notifications, or access to the User Profile for account-related actions.
