Transaction Age Validation Statistics Report Overview
The "Transaction Age Validation Statistics Report" allows users to view the total number of transactions within a selected date range that meet or fail to meet a defined age requirement. It includes filter options such as loyalty transactions only or age visually verified only.
The system displays records strictly based on the filter criteria chosen from the “Report Type” drop-down menu.
If any store is not selected, it will display the report results for all the store locations.
1. Reaching the "Transaction Age Validation Statistics Report"
To reach the "Transaction Age Validation Statistics Report," follow the steps below:
- Step 1: Log into Control Center
- Step 2: Choose Point of Sale
- Step 3: Choose Reports
- Step 4: Choose Sales Reports
- Step 5: Choose Transaction Age Validation Statistics
You will see many types of sales reports that will be useful to your retail business. You will see the different types of sales reports by clicking the drop-down selection. See Figure 1.1.

2. Understanding the "Transaction Age Validation Statistics Report"
You will see the "Report Data is Empty" message initially. You need to select the date range to check the "Transaction Age Validation Statistics Report." See Figure 2.1.

3. Generating the "Transaction Age Validation Statistics Report"
When you navigate to the page, you will see the options pre-selected by default. You can generate the report for the selected date range. By default, the report type is selected as "Transaction Age Validation Statistics," and age validation is selected as 21; however, you can enter the desired age in the number field or use the up/down arrows to adjust the value.

Report Information:
- Transaction<21: If the age limit in the Age field is defined as 21, this column will display the number of sales for age-restricted items that are to be sold to customers of 21 years of age.
The value in this column is defined as "0 | 0.00" or "2 | 22.22 %," which is defined as the Number of Sales below 21 | Percentage of Sales under the user-set age requirement.
- Transaction>21+: The value in this column is defined as "0 | 0.00" or "2 | 22.22 %," which is defined as the Number of Sales below 21 | Percentage of Sales above the user-set age requirement.
- Total Transaction: This column gives the total number of transactions within a date range above or below a user-set age requirement.
3.1. Filter Items
This field allows users to refine the report results based on specific buydown configurations. It includes a drop-down menu with the following two options:
- Show All: Displays all buydowns available in the system. Use this option to view a complete list of all applied buydowns across items.
- Custom Filter: Allows users to display a filtered buydown item list report. This is helpful when generating a report focused on particular buydowns for analysis.
Click on the "Manage" button to apply filters to get the customized results.

- By clicking the "Manage" button, a "Manage Filters" window will pop up. You will see the following details highlighted in Figure 3.1.2.

Manage Filter Screen Information:
- Manage Filters Drop-Down: Select the saved custom filters from the Manage Filters drop-down (if any) and click "Apply" to apply the saved custom filter. The system will redirect you to the Transaction Age Validation Statistics Report home screen. Click "Generate Report" to generate the report for the selected filter. Clicking the "Manage Filters" button will also open the list of saved custom filters.
- Parameter Tabs: You will see six tabs: UPC, Department, Category, Manufacturer, Tag, and Department Tag. Select the required tab, i.e., "Department," to create or apply a custom filter specific to the selected departments.
- Search: Use this Search box for a specific result.
- All Items: Use this drop-down to filter the Manage Filters screen data based on four parameters: All Items, Child Only, Parent Only, and Standalone Only.
- Active Only: Use this drop-down to filter the Manage Filters screen data based on three parameters: Active Only, Inactive Only, and All Records.
- Match All Filters Drop-Down: Use the Match All Filters filter to decide whether or not the Manage Filters screen data matches all applied filters.
- Results: Here, you see the relevant list of data on the Manage Filters screen for the selected tab. For example, if you have chosen the "Department" tab, it will show the list of all departments. You can search for a specific department in the "Search" bar.
- Select the required departments by checking the appropriate checkboxes.
- Click the green Arrow button to move the selected records to Selected List.
Upon clicking the "Manage" button, Figure 3.1.2 appears.
- You can decide whether you want to "include" or "exclude" when the Transaction Age Validation Statistics are generated. See Figure 3.1.3.
When the Transaction Age Validation Statistics Report is generated, you can decide whether to include or exclude the selected parameters.
- Include: If the flag is selected to "Include," it means the sales report will be generated by applying the selected records.
- Exclude: If the "Exclude" flag is selected, the sales report will be generated, but the selected records will be ignored. It will consider the selected records that need to be excluded and the left-side records for reports.
2. Click the "Clear Selection" button to remove the whole selection. To remove any record from the list, click the Remove (x) icon.
3. Apply or save the custom filter:
- Click the "Apply" button to apply the selected parameters. The system will navigate you to the Transaction Age Validation Statistics Report screen. Click "Generate Report." The system will generate reports based on your selection.
- Click the "Save Filters" button to save the custom filter for future use. Point 3.1.1 Save & Manage Custom Filter explains the details.
3.1.1. Save & Manage Custom Filter
By clicking the "Save Filters" button, a pop-up will appear to allow you to enter the name of the custom filter.
You can also save the configured custom filters for future use.
- Click the "Save Filters" button shown in Figure 3.1.3.
- The Name pop-up will appear, as shown in Figure 3.1.1.1.

Manage Saved Filter Drop-Down Screen Information:
1: Saved Filters Drop-Down: The saved custom filters will appear in the drop-down selection. You can select the required custom filter from the list for the Transaction Age Validation Statistics Report.
2: Manage Filters: You can check and manage the filters by clicking the "Manage Filters" button. You will see the listing of the saved custom filters in a pop-up by clicking on it.
3: The Filter Name list shows the list of all saved custom filters. Click on the filter's name to select it.
4: You can click "Select Filter" or "Delete."
- Select Filter: Use the "Select Filter" button to select any filter from the list. Click on the filter's name, and then click on the "Select Filter" button. The system will close the Manage Saved Filters pop-up screen. Click the "Apply" button on the Manage Filters screen. The system will navigate you to the Transaction Age Validation Statistics Report home screen. Click "Generate Report" to generate the report for the selected filter.
- Delete: Use the "Delete" button to remove the no longer required filter from the list. Click on the filter's name and then the "Delete" button. A warning message will appear. Click "OK" to delete the filter.
- Similarly, you can filter and set up the records for other tabs (parameters).
To generate the Transaction Age Validation Statistics Report with the specific data you've selected, apply a selection or choose a saved filter, then click the "Generate Report" button.
3.2. Group By Filter
Filters are meant to display a filter-specific report. Here, the report can be grouped into 3 different categories. See Figure 3.2.1.

- Group By Departments: It displays the report results sorted and summarized by department.

- Group By Category: It organizes the results based on product categories within departments. When you select this filter, the category depth field appears.

- Select the category depth and click the "Generate Report" button to generate a report grouped by the selected category.
- Group By Manufacturers: Groups and shows results by product manufacturers or brands.

3.3. Date Range & Presets
You can filter your sales data in the report by selecting the date range as well as specific times.
By clicking the edit box, you will be taken to a tiny calendar where you can select a specific date range. You can also manually enter the date in mm/dd/yyyy format. See Figures 3.3.1, 3.3.2, and 3.3.3.
- Start Date: This field lets you choose the start date of the date range.

- End Date: This field lets you choose the end date of the date range.

- Presets: The Presets label is provided to select the specific duration/interval to generate the report with that.

3.4. Group By Location
This filter lets you group the report with three available options explained below:
- None: If any location is not selected, it will display the report for Transaction Age Validation Statistics items for every location by default. See Figure 3.1 above.
- Location: If you select "Location," the data in the report for Transaction Age Validation Statistics will be displayed location-wise (stores) for each store. Once the location-specific report is generated.

- Location Group: You can also check the data in the report as per the location groups that are created in Manage Location Groups at Locations. If you select the "Location Group," the "Include Location Group(s)" data will be displayed in the location group.

3.5. Loyalty Status
The Loyalty Sales filter lets you view transactions based on whether the customer is a loyalty member or not:
- All: Choosing this will display all the transactions, combining all the sales for loyalty and non-loyalty customers. (Selected by Default)
- Loyalty Sales: Choosing this will display the transactions for loyalty customers in the selected date range.

3.6. Age
This field lets you enter the age number to be set as a validation for the transaction taking place at the POS. To display age-specific results, you can enter the desired age in the number field or use the up/down arrows to adjust the value.

3.7. Checkbox Filters
All Transactions: Checking this option will include every transaction within the selected date range, regardless of whether the age was verified or not. If you uncheck it, the report will only apply the filters you specify (e.g., age, visually verified, loyalty sales).

- Visually Verified: Checking this option will display all the transactions that are visually verified.

- Both: If you check both, the report results will be the combination of both filters.

4. Generating the Report by "Age Group"
Report Type refers to the specific kind of report you want to generate. The dropdown under Report Type allows you to select between different report formats or categories. In your case, the options shown are:
Transaction Age Validation Statistics: A report that provides statistics on transactions based on customer age verification. It is selected by default, as explained above.- Age Group: A report that categorizes and summarizes data based on different customer age groups.
So, selecting a Report Type defines the overall structure and purpose of the report you are about to run.

Report columns:
- Age Group: This column indicates the count of people whose age was confirmed by visual inspection instead of being recorded in a specific age group.
- Total: This displays the number of people/customers counted in each age group.
Report Results for "Age Group" Report Type with Checkbox Filters:
- Scanned Licenses: The report will only include transactions where a customer’s license/ID was scanned during the sale.

- Manually Entered Birthdates: This filter will display transactions where the customer’s date of birth or age was typed in manually by the cashier, instead of being scanned from an ID or auto-populated.

FTx Cloud POS supports report automation. You can configure a report and schedule it. The system will send the scheduled report to the indicated email IDs at the defined frequencies (daily, weekly, bi-weekly, monthly, quarterly, etc.).
6. Printing/Exporting a Report
You can print or export any report according to your requirements. When you use the Print function, the system creates and opens the report's PDF file in a new tab. You can download the soft copy or print the paper copy according to your requirements.
7. Manage Favorites
FTx Cloud POS allows quick access to the reports you need to view frequently through "Favorite Reports." You can save a report as a favorite and manage all your favorite reports from any of the report screens using the "Manage Favorites" button.
