Gift Card Reports

Gift cards are a convenient and flexible way for customers to shop or share a gift with their loved ones. Our FTx Commerce platform offers both digital and physical gift cards, allowing customers to

This KB covers the Gift Card Orders and Reports along with actions for Digital Gift Cards that are still in Inactive mode.

1. Store Admin Reports

There are two reports related to Gift Cards. One is for Gift Card Use as a payment method another is Inactive Digital Gift Cards.

1.1 Order Reports

The Order Reports/Order Summary section in the Store Admin portal provides a comprehensive view of all customer orders. Store admin can easily track and check the last digits of any redeemed gift card for the order. The Gift Cards can be seen as a part of the Payment Methods.

1.2 Inactive Digital Gift Cards

Digital Gift Card purchase is successfully completed but remains inactive if the customer does not activate it.
Inactive Digital Gift Cards provides visibility into:
1) Listing out the Inactive Digital Gift Cards
2) Enables retailers to take actions on behalf of customers: Activate | Cancel with refund | Cancel without refund

1. Digital Gift Cards
Digital Gift Cards are treated as Virtual Orders. When customers purchase gift cards, these orders are separated from physical item orders. The Digital Gift Cards section displays all inactive gift cards in a listing view.

Users can click “View” to open the detailed order information.
Actions on Behalf of Customers
Users can take the following actions for inactive gift cards:

  1. Activate & Email to Customer: Activates the gift card and sends an activation email to the customer
  2. Cancel & Initiate Refund: Cancels the gift card and processes the refund through the standard flow. If multiple payment methods are used, users can choose to Refund to original payment methods, or Refund to a selected gift card
  3. Cancel Without Refund: Cancels the gift card without issuing a refund. Typically used when the amount has already been adjusted through alternative methods (e.g., in-store compensation)
Note: If multiple gift cards are included in a single order, each gift card must be processed individually.

2. Digital Gift Card Permissions
Users must have appropriate permissions to view the report and perform actions on inactive gift cards. Access to the Digital Gift Card report is controlled through FTx Core → Roles, where permissions can be configured per user role.
If permission is assigned, only then system allows users to access the Digital Gift Card report and perform such actions, allows users to activate, cancel with process refund, or without refund.

2. Control Center -> Sales Report

The Gift Cards sales can also be tracked from the Sales Report mainly E-Journal.
