Printing a Report

Overview

The Print/Export Report function in "Reports" enables you to:
  1. Print a report. (When you use the Print function, the system will create the report's PDF file based on the selections and open it in a new tab. You can download the soft copy or print the paper copy as per your requirements.)
  2. Export the report as PDF, CSV, or Excel. 
  3. Open the PDF on a new tab with a single click. 
You can print/export any report included in List Reports, Sales Reports, Smart Till Reports, Inventory Reports, and Lottery Reports following the steps mentioned in this article.

1. Printing/Exporting a Report 


Prerequisite: Please ensure you have configured a report. This means you have made the required selections for date ranges and filters. (You don't have to click "Generate Report" to print or export a report.).

Please follow the steps below to print a report:     
  1. Navigate to the report you wish to print, such as a Buydown Sales Report, Invoice Summary Report, or Time Clock Report
  2. Configure a report as per your requirements using the filter options and click the "Print/Export Report" button highlighted in Figure 1.1.

  1. The "Print Options" pop-up screen will open, as Figure 1.2 shows.

Make appropriate selections:
    1. Select Print Option: Select any option: Print Current Page Only or Print All Pages
    2. Preview: Enable this toggle button to view the report preview before downloading the PDF.  
    3. White Background: Enable this button if you want the report to have a white background.  
    4. Show Filters: Enable this button to view filters in the reports.
    5. Include Header: The system enables this button by default. Please turn it off to exclude the report's header from the report. 
    6. Print Title on Every Page: This button is enabled by default. Turn it off if you want to remove the report's title from showing on each page. 
    7. Send As Email: Enable this button to send the report's PDF file via email. The Email Address field will appear. Enter the email address and click "Send Email."                                                                       NOTE - if sending to multiple recipients, ensure to add each email address to its own line.

    1. Click "Start Print." 
    2. The report's PDF will open in a new tab. Download it using the Download icon, and print it using the Print icon. 

1.1 Exporting the Report as a PDF

Please follow the steps below to export the report as a PDF: 
  1. Navigate to the report you need to schedule and configure a report as per your requirements using the filter options.
  2. Click the "Print/Export Report" drop-down and click "Export as PDF" highlighted in Figure 1.1.1.

  1. The Print Options pop-up screen will open, as Figure 1.2 shows.
  2. Follow the steps explained in 1. Printing/Exporting a Report to download the PDF. 

1.2. Exporting the Report as a CSV

Please follow the steps below to export the report as a CSV: 
  1. Navigate to the report you need to export and configure a report as per your requirements using the filter options.
  2. Click the "Print/Export Report" drop-down and click "Export as CSV," highlighted in Figure 1.1.2.

  1. The Export Options screen will appear, as Figure 1.2.2 shows.

Make appropriate selections:
  1. Select Export Option: Select any option: Export Current Page Only or Export All Pages
  2. White Background: Enable this button if you want the report to have a white background.  
  3. Send As Email: Enable this button to send the report's CSV file via email. The Email Address field will appear. Enter the email address and click "Send Email.                                                                                    NOTE - if sending to multiple recipients, ensure to add each email address to its own line.

  1. Click "Start Export." 
  2. The report's CSV will be downloaded.

1.3. Exporting the Report as Excel

Please follow the steps below to export the report as Excel:
  1. Navigate to the report you need to export and configure a report as per your requirements using the filter options.
  2. Click the Print/Export Report drop-down and click "Export as Excel (xlsx)" highlighted in Figure 1.3.1.

  1. The Export Options screen will appear, as Figure 1.3.2 shows.

Make appropriate selections:
    1. Select Export Option: Select any option: Export Current Page Only or Export All Pages
    2. White Background: Enable this button if you want the report to have a white background.  
    3. Show Filters: Enable this button to view filters in the reports.
    4. Include Header: The system enables this button by default. Please turn it off to exclude the report's header from the report.
    5. Export Without Formatting: Enable this button to export the report without any formatting.
    6. Send As Email: Enable this button to send the report's Excel file via email. The Email Address field will appear. Enter the email address and click "Send Email."                                                              NOTE - if sending to multiple recipients, ensure to add each email address to its own line.

  1. Click "Start Print.
  2. The report's Excel will be downloaded.

1.4 Open the PDF in a New Window 

Please follow the steps below to export the report as Excel: 
  1. Navigate to the report you need to export and configure a report as per your requirements using the filter options.
  2. Click the "Print/Export Report" drop-down and click "Open PDF - New Window" highlighted in Figure 1.4.1.
