EDI Import (Employees)

Overview

EDI Import
allows you to access and process the vendor-provided EDI files for invoices. FTx Cloud POS offers the following three options for processing invoices:

1. Apply the Invoice (Invoices Module)
  1. This option updates the product counts in the system.
  2. If there is a cost change for any product, the system will display a prompt to update the product cost. Upon confirmation, the cost will be updated in the Products module.
  1. Download as PDF

    • You can download the invoice as a PDF for further processing.

  2. Convert Purchase Order to Invoice (Purchase Orders Module)

    • You can convert an existing purchase order to an invoice directly from the Purchase Orders module.

  3. Process via EDI Import

    • You can process invoices directly using the EDI Import feature. Once the vendor sends the invoice's EDI file, you can access it through EDI Import and proceed with the necessary processing.

Notes
Prerequisites: Ensure the EDI setup is fully established and the FTP connection is properly configured.

"EDI Import" enables you to: 

  1. Search the invoice's EDI file sent by the vendor
  2. Manually upload the invoice's EDI file 
  3. Process the invoice

Understanding "EDI Import" Layout

Please refer to Figure 0.1 and the descriptions of the buttons and fields below to understand the layout of "EDI Import."

Fields:
1: Select Location: This drop-down helps you to select the location for which you need to search or process the invoice. 
2: Select Vendor: This drop-down helps you select the vendor you need to search for to process the invoice.  
3. Buttons:
  1. EDI Setup: This button navigates you to the "EDI Setup" module. 
  2. Search Invoices: Once you select the location and vendor, this button lets you search for related invoices. 
  3. Manual Upload/Import: This button helps you upload the EDI files manually.   
4: EDI Files to Process: This section shows the fetched EDI files. 
  1. File Details: This section shows details of the selected EDI file. 
5. Refresh: This button is used to refresh the invoice details.
5: Process Invoice: This button lets you process the invoice. 
  1.  Invoice #: It is auto-fetched while processing.
6: Manually Override Invoice Date: This button lets you change the invoice date. The system will consider the current date to process the invoice. You can manually change it using this toggle button. 

1. Processing the Invoice

To process the invoice, search the invoice's EDI file for the particular vendor and location and then process it. 

1.1 Searching Invoices

Please follow the steps below to search for the invoice. 
  1. Select the location using the Select Location drop-down, select the vendor using the Select Vendor drop-down, and click the "Search Invoices" button highlighted in Figure 1.1.0.

  1. The system will fetch the EDI file and show it under EDI Files to Process, as Figure 1.1.1 shows.

  1. If the chosen vendor has sent multiple EDI files, the system will show all of them under EDI Files to Process.
  2. Click on the required file to select it. The File Details section will show its detailed information.
All the invoices that have missing vendor parts will be highlighted in red text in the “File Details” section, and a new "Add" button is displayed beside each highlighted item. 

1. Add: This “Add” button, as highlighted in Figure 1.1.1, allows the user to add the missing information before processing the invoice.
When clicked, Figure 1.1.2 appears.

1Basic Details: Enter the general information for the vendor part. To learn more, read Vendor Parts.
2. Zone Costs: Enter the price details for the vendor part. To learn more, read Vendor Parts.

3. Add: If the item is missing, you can create and add pricing details from the EDI Import page itself.

1.1.1. Manually Upload the Invoice EDI

If the vendor has sent the invoice EDI file via email or any other medium, you can manually upload it to the system. Please follow the steps below to upload the EDI file manually. 
  1. Click the "Manual Upload/Import" button highlighted in Figure 0.1.
  2. The Upload EDI File screen will appear, as Figure 1.1.1.0 shows.

  1. Click the "Choose File" button to select and upload the EDI file.
  2. Once the EDI file is uploaded, the Upload EDI File screen will look like Figure 1.2.0.

1.2 Processing the Invoice  

Please follow the steps below to process the invoice: 
  1. Select the EDI/invoice you need to process.
  2. Click the "Process Invoice" button shown in Figure 1.1.1.
  3. The Process Invoice message will appear, as Figure 1.2.0 shows.

  1. The system may show the Process Invoice From PO screen depending on how the order was created. Please select the applicable PO (Purchase Order) from the drop-down and click "Continue."

  1. The system will process the invoice and show the success message, as Figure 1.2.2 shows. The processed invoice will be available in the list of invoices in "Invoices.

  1. If you click the "Go to Invoice" button, the system will navigate you to the respective Edit Invoice screen in Invoices.

1.2.1. Manually Overriding the Invoice Date

The system will consider the current date to process the invoice. Please follow the steps below to change it: 
  1. Enable the "Manually Override Invoice Date" button, highlighted in Figure 1.2.1.0, and click in the Date field. A drop-down calendar will appear. Choose the required date and process the invoice, as "1.2 Processing the Invoice" explains.
