Register Z Report Overview

The "Register Z Report" in FTx Cloud POS shows the summary of the Register Z performed at the POS. 
What is Register Z? 
  1. When cashiers or employees complete their shifts, they must generate and submit a sales details report from the POS system, known as "Register Z." Register Z must be generated before they log out of the POS to close their shifts. Register Z captures every sales transaction that occurred during their shift. It’s a key function used in the retail industry.

When you click
"Register Z," the Register Z Report screen will open. As shown in Figure 1.2, it provides relevant filtering and sorting options.

2. Generating the "Register Z Report"

Please follow the steps below to generate the "Register Z Report."
  1. Navigate to the Register Z Report screen. 
  2. Select the appropriate details in the Report Type, Register #, and Z# drop-downs, and click "Generate Report.
  3. You can use the report type filter and various checkbox filters to create a report that meets your requirements.

    2. You can choose from three options: Run By Register Z, Run By Date Range, and All Z's in Date Range. Please refer to Section 3, Filter Options, to learn more about these filters. 
    3. Click "Generate Report" whenever you change your selection in any field to view the updated report. 
  4. When you click the "Generate Report" button after selecting the date range, the system will show the store-wise report records, as Figure 2.1 shows.

Report Sections:
  1. Top Bar: The Top Bar shows the register number, Z number, and the location (store) name. 
  2. 1: General: As its name suggests, the General section includes the general information about the selected Register Z. Each field name indicates the type of information in the field.

  1. Register #: This field indicates the register number for which the Z was performed. 
  2. Z#: This field indicates the Z number for the day.
  3. Start Date/Time: This field indicates the starting date and time considered for the Z duration.  
  4. End Date/Time: This field indicates the ending date and time considered for the Z duration.  
  5. Customer Count: This field indicates the number of customers served during the Z. 
  6. Net Sales: This field indicates the net sales revenue for the Z duration. 
  7. Store Coupons: This field indicates the amount paid using the store coupons for the Z duration. 
  1. Adj Net Sales: This field shows the adjusted net sales. 
  2. Tax: This field shows the Tax amount for the Z duration.  
  3. Total: This field shows the total amount calculated by 
  4. System Discounts: This field shows the total amount deducted from the sales as system discounts for the Z duration. 
  5. Manual Discounts: This field shows the total amount deducted from the sales as manual discounts for the Z duration. 
  6. Adjusted Total: This field shows the total value of the sale.
  7. Not Include In Sales Reporting: This field shows the sales amount of items belonging to the departments marked as "Not Include In Sales Reporting," if any. 
  8. Combined Total: This field shows the combined total amount. 
  1. Non-Cash Fee Collected: This field shows the total amount collected as non-cash fees. 
  2. Buydowns: This field shows the applied buydown amount, if any. 
  3. Total Commission: This field shows the commission, if any.
  4. Surcharges: This field shows the applied surcharges, if any. 
  5. Receipts Voided: This field shows the receipts voided during the Z, if any. 
  6. No Sales: This field shows the counts when the No Sales button on the POS was used to open the cash drawer. 
  7. Receipts Returned: This field shows the return quantity and return amount given, if any. 
  8. Cancel Count: This field shows the canceled quantity and amount during the Z, if any.   
  1. 2: Taxes: This section shows the information about tax collections. Each field/column title indicates the type of information it contains.

  1. 3: Accounts Total (Total Summary for Cash): This section shows information about breakdown values. Each field/column title indicates the type of information it contains.

  1. 4: Tenders: This section shows the types of tenders included in the transactions. The column titles indicate the kind of information they contain.

3. Filter Options

FTx Cloud POS lets you view the Register Z Report records according to your preferences using various filter options. As highlighted in Figure 3.1, you can configure the report with any single filter or a combination of multiple filters.

Report Filters:
  1. Report Type: This filter lets you generate three types of reports: Run By Register Z, Run By Date Range, and All Z's in Date Range. 3.1 Report Type explains further details.  
  2. Checkbox Filters
    1. Show Dept Detail: The Show Dept Detail checkbox lets you view the "Departments" section highlighted in Figure 2.1 with the number 5. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Departments section in the report. 
    2. Show Cashier Detail: The Show Cashier Detail checkbox lets you view the "Cashier Info" section highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Cashier Info section in the report.  
    3. Show Tender DetailThe Show Tender Detail checkbox lets you view the "Tenders" section highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Tenders section in the report.  
    4. Show Dept GroupsThe Show Dept Groups checkbox lets you view the "Department Group info" highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the department group-related section in the report.  
    5. Show Pay In/Out AccountsThe Show Cashier Detail checkbox lets you view the "Cashier Info" section highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Cashier Info section in the report.  
    6. Show Accounts TotalsThe Show Cashier Detail checkbox lets you view the "Cashier Info" section highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Cashier Info section in the report.  
    7. Show Tax Exempt DetailThe Show Cashier Detail checkbox lets you view the "Cashier Info" section highlighted in Figure 2.1 with the number 6. The system ticks this checkbox by default. If you untick it and click the "Generate Report" button, the system will not show the Cashier Info section in the report.  

3.1 Report Type 

The Report Type filter lets you generate the report based on three options: Run By Register Z, Run By Date Range, and All Z's in Date Range.

3.1.1 Run By Register Z

The Run By Register Z filter lets you generate the report based on the register number and the Register Zs performed on it. By default, the system selects this option and generates the report as explained in Section 2. Generating Register Z Report. 

3.1.2 Run By Date Range  

The Run By Date Range filter lets you view all Register Z reports for the selected date range. Please follow the steps below to generate the Register Z report using the Run By Date Range report type.  
  1. Choose the Run By Date Range option in the Report Type drop-down. 
  2. Select the required dates in the Start Date and End Date fields, and click "Generate Report.
  3. The system will generate the report, as shown in Figure 3.1.1.

  1. The report format will be the same as explained below, Figure 2.1, but it will show the cumulative statistics for the date range. For example, if the "Net Sales" field shows $1000, the total of the "Net Sales" values for all Register Zs performed during the selected date range is $1000. 
  2. Similarly, all sections and fields of the report will show their respective total values for the selected date range. 
  3. Many sections, such as Pay In/Out Accounts, Cashier Info, Z's Included In This Report, etc., may show too many records when you generate the report using the Run By Date Range report type. Below is an example of Z's Included In This Report section.

3.1.2 All Z's in Date Range

The All Zs in the Date Range report type allows you to view the cumulative values for all Register Z reports within the selected date range. Please follow the steps below to generate the Register Z report with the All Z's in Date Range report type. 
  1. Choose the "All Z's in Date Range" option in the Report Type drop-down. 
  2. Select the required dates in the Start Date and End Date fields, and click "Generate Report." 
  3. The system will generate the report, as shown in Figure 3.2.1.

    1. The report's top bar will show "Total X Count." For example, 23 highlighted in  Figure 3.2.1 above indicates 23 Register Z reports for the selected date range. The system will show all of them individually in descending order by the report date. You can scroll the screen to view them.

4. Scheduling a Report

FTx Cloud POS supports report automation, allowing you to configure and schedule a report. The system will then send the scheduled report to the designated email addresses at the specified frequency (daily, weekly, bi-weekly, monthly, quarterly, etc.).

5. Printing / Exporting a Report

You can print or export any report according to your requirements. When you use the Print function, the system creates and opens the report's PDF file in a new tab. You can download the soft copy or print the paper copy according to your requirements.

6. Manage Favorites 

FTx Cloud POS provides quick access to frequently viewed reports through the "Favorite Reports" feature. You can save a report as a favorite and manage all your favorites from any report screen using the "Manage Favorites" button.
